We currently have an opportunity available for an experienced and resourceful Administrative Assistant to join our Physical Science Division. You will provide excellent service to the Division's Associate Laboratory Director, program committee members and the members of the division, whose areas of focus include Molecular and Materials Science, Nuclear Physics, Particle Physics, Science Technology, and Theory. This is the perfect opportunity for you if you are a service-oriented professional who enjoys building effective relationships and collaborating with a variety of people and personalities. Your responsibilities will encompass a variety of routine, non-routine and technical administrative duties, from regular services like scheduling meetings and greeting visitors, to scheduling experiments approved by TRIUMF's Experimental Evaluation Committee. Other areas of responsibility include, but are not limited to:

  • Acting as administrative officer for various committees, and maintaining various webpages on the TRIUMF website
  • Obtaining safety documents for all experiments and uploading to experiments database application
  • Preparing semi-annual calls for beam requests and monitoring online submissions
  • Acting as the divisional resource for controlled documents, and for project gate review preparations
  • Processing visitor information, including providing letters of invitations and facilitating visitor permits and LMIA exemptions for foreign visitors
  • In collaboration with Human Resources, acting as a resource for the Divisions research scientist's search committees
  • Posting online divisional announcements and coordinating the administration of yearly divisional performance reviews
  • Assisting with any divisional related conferences as required

As our ideal candidate, you thrive while managing changing priorities in a fast paced, high pressured environment, and your skills and qualifications include:

  • Effective oral and written communication skills which include proficiency working with English grammar, spelling and punctuation
  • Strong organizational and time management skills, and the demonstrated ability to work with sensitive information and maintain confidentiality
  • Excellent interpersonal skills, high attention to detail, and the ability to exercise independent judgement
  • Intermediate to advanced skills with the Office Suite of products and Adobe Acrobat, and basic HTML programming skills
  • The ability to learn specialized systems including Agresso(ERP), Indico, Docushare and Google Calendar
  • Database management skills which include a basic understanding of architecture application and querying
  • At least 5 years' experience in an administrative assistant role, preferably in an academic, research or university office environment and previous experience working in a project based environment, with emphasis on timeliness and delivery
